Understanding Certification Status

Roles: Owner, Director, Manager

Every combination of active staff member and applicable certification type carries a status, whether or not anything's been recorded yet. Valid means on file and not expiring soon. Expiring means it falls inside the warning window set for that certification type, 30 days by default and configurable per type, per center. Expired means the date has passed. Missing means it's required but nothing's on record at all. Not provided means it's optional and simply hasn't been filled in, which isn't treated as a problem.

A required-but-never-filled-in certification showing as missing, rather than not appearing anywhere, is the entire point of certification expiration tracking. A gap in your records should look like a gap.

This status feeds three places from the same source: the compliance table on the Certifications page, a Dashboard alert for anything expiring or expired, and the Certifications tab in Reports. Whatever the dashboard shows will match what a full report turns up, because both are reading the same computed status.
