Childcare Owl (“Company,” “we,” “us,” or “our”) operates the Childcare Owl platform accessible at childcareowl.com. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our Service. By accessing or using the Service, you agree to this Privacy Policy in its entirety.

Information We Collect

We collect information you provide directly: account registration details (name, email address, center name), billing information processed and stored by Stripe (we never store card numbers), and operational data you enter into the platform (task lists, room names, staff names, completion records).

We collect information automatically: IP addresses, browser type, device identifiers, pages visited, and usage patterns through standard server logs.

Third-Party Tools We Use

We use the following third-party services, each governed by their own privacy policies:

• Supabase — database storage and user authentication
• Stripe — payment processing and subscription billing
• Vercel — hosting and content delivery

We are not responsible for the privacy practices of these third parties. We encourage you to review their individual privacy policies.

How We Use Your Information

We use collected information solely to provide, maintain, and improve the Service; process payments; send transactional account emails; and respond to support requests. We do not sell your data. We do not share your data with third parties except service providers listed above or as required by law.

Data We Do Not Collect

Childcare Owl is an internal operations tool for center staff. It is not designed to collect, store, or process any information about children, parents, or families. You are solely responsible for ensuring no personally identifiable information about minors is entered into the platform.

Cookies

We use essential cookies to maintain your login session. You can disable cookies in your browser settings, though the Service will not function correctly without them, since they're required to keep you signed in. We do not use advertising, tracking, or analytics cookies. We do not respond to Do Not Track signals transmitted by web browsers.

Data Security

We implement industry-standard security measures including encrypted data transmission (TLS), encrypted storage, and role-based access controls. No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security of your data and disclaim liability for unauthorized access beyond our reasonable control.

In the event of a data breach affecting your account, we will notify you by email within 72 hours of becoming aware of the breach, consistent with applicable law.

Data Retention and Deletion

We retain your data for the duration of your active subscription plus 30 days following cancellation or trial expiration. After 30 days, your account and all associated data are permanently deleted. We cannot recover deleted data. You may request deletion at any time by contacting support@childcareowl.com.

California Privacy Rights (CCPA)

California residents have the right to request disclosure of the categories of personal information we collect, the purposes for which we use it, and any third parties we share it with. California residents also have the right to request deletion of their personal information. We do not sell personal information as defined under the California Consumer Privacy Act. To submit a request, email support@childcareowl.com. We will respond within 45 days.

EU and UK Data Subject Rights (GDPR)

If you are a resident of the European Union or United Kingdom, you have the following rights regarding your personal data:

• Right to access — request a copy of the personal data we hold about you
• Right to rectification — request correction of inaccurate data
• Right to erasure — request deletion of your personal data
• Right to restrict processing — request that we limit how we use your data
• Right to data portability — request your data in a portable format
• Right to object — object to our processing of your personal data

To exercise any of these rights, contact support@childcareowl.com. We will respond within 30 days. If you are an EU resident and have complaints regarding our privacy practices, you have the right to lodge a complaint with your local supervisory authority.

We transfer personal data from the European Economic Area to the United States. By using the Service, you consent to this transfer. We process EU personal data in compliance with applicable GDPR requirements.

Cross-Border Data Transfers

Our Service is maintained in the United States. If you access the Service from outside the United States, your data will be transferred to and processed in the United States. By using the Service, you freely and specifically consent to this transfer and processing.

Children's Privacy

This Service is intended for use by childcare center staff and administrators aged 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us immediately at support@childcareowl.com.

Your Rights

You may request a copy of your data, correction of inaccurate data, or deletion of your account at any time by contacting support@childcareowl.com. We will respond within 30 days.

Changes to This Policy

We reserve the right to modify this Privacy Policy at any time. We will notify registered users by email at least 14 days before material changes take effect. Continued use of the Service after changes constitutes acceptance of the revised Policy.
