Everything you need to run consistent childcare operations

Childcare Owl replaces sticky notes and spreadsheets with structured daily checklists, staff accountability, and documentation your center can rely on — room by room, shift by shift.

Daily Checklists for Every Room

Every room in your childcare center gets its own task lists — infant room, toddler room, pre-K, kitchen, front office, wherever you need consistent daily routines. Each task can be marked complete or marked not applicable, and every action is time-stamped with who did it.

The Task Lists view shows every room's progress for the day at a glance, so a director can tell in seconds which rooms are on track and which need attention — no walking the building or texting staff to check.

Opening & Closing Procedures

Schedule checklists to recur daily, weekly, monthly, quarterly, or yearly, with an optional due time. An opening checklist can appear every morning automatically; a deep-cleaning checklist can appear once a month — no one has to remember to create it.

Assign a checklist to a single room, multiple rooms, or the whole center, and set a due time so anything still incomplete past that point is flagged as overdue.

Staff Task Assignment & Accountability

Assign a checklist to specific people, specific roles, or leave it unassigned so any active staff member can pick it up. Either way, every completed task records exactly who completed it and when — not just that it got done.

Mistakes happen — a task marked complete by accident can be undone by a Manager, Director, or Owner, and the correction is permanently logged at the database level, not just in application code, so the record of who changed what stays intact no matter how the correction happened.

A dedicated Staff report rolls this up per person over any date range — tasks completed, marked N/A, marked late, signoffs given, and how often their work needed correcting — so a director has an actual performance record, not just a feeling.

Manager Signoff & Completion Tracking

Mark any checklist as requiring manager signoff, and it won't be considered complete for the day until a Manager, Director, or Owner reviews and signs off — with optional notes. Signoff is only available once every task on the list is actually done.

You can assign specific managers to specific checklists, so the person signing off is the one who actually oversees that room or shift. Directors and Owners can always sign off anything in the center.

Licensing Inspection Documentation

Every task completion and every signoff is permanently retained — nothing is ever silently deleted, only archived. Filter your center's activity history by date range, room, or staff member to pull up exactly what happened and when.

Childcare Owl isn't a compliance or regulatory product, and it won't tell you what your state requires. What it gives you is organized, dated documentation of your actual daily operations, so when a licensor asks to see your records, you're not digging through paper logs.

Pro plans can export any report as a branded PDF — your center's logo, staff names, and completion data on one document you can hand to a licensor or file for corporate reporting, instead of pulling up a laptop screen.

Staff Certification Tracking

Track CPR, First Aid, and any certification your center requires — per staff member, with expiration dates. Childcare Owl ships with CPR and First Aid ready to go, and directors can add their own certification types on top (food handler, mandated reporter, whatever your state or center requires).

Mark each certification type required or optional center-wide, and exempt individual staff members who don't need it — a kitchen or maintenance-only employee doesn't need a childcare-specific certification cluttering their record.

A dedicated dashboard alert surfaces every certification that's expired, expiring soon, or missing entirely, so an expired CPR card doesn't turn into a surprise during a licensing visit. Export the full compliance picture as a branded PDF, ready to hand to an inspector. This is a Pro plan feature.

Training Hours & Professional Development

Log a training session once — a webinar, an in-service day, a CDA course — and check off everyone who attended, instead of filling out a form per person per course. Every session logged counts toward each attendee's running total automatically.

Set a different required hours-per-year for each role, since a Director's annual requirement rarely matches a Staff member's. Choose whether your center's training year resets on a fixed date or on each staff member's own hire-date anniversary, and add a one-time rule for hours a new hire needs within their first days on the job, separate from the regular annual total.

A dashboard alert surfaces anyone falling behind as their deadline approaches or who's missed a one-time new-hire requirement. Export a per-staff PDF log — one person or several at once — showing exactly which dates and hours count toward their current period, ready to hand a licensor. This is a Pro plan feature.

Custom Task Lists vs System Templates

Start from Childcare Owl's system template library — a set of ready-made checklists covering common childcare center routines, including a full new-hire onboarding checklist (policy review, shadow shift, handbook signed) for standardizing how every new staff member gets ramped up. Importing a template creates your own independent, fully editable copy; future updates to the system template never change what you've already imported.

Need something more specific to your center? Build a fully custom task list from scratch, with your own tasks, order, and signoff requirements. Starter plans include up to 2 custom task lists; Pro includes unlimited custom task lists alongside the full template library.

Works Like an App, On Any Device

Childcare Owl runs in the browser on any computer, tablet, or phone — no app store required. Staff can install it straight to their home screen for one-tap access during opening and closing shifts, the same way they'd open any other app.

No per-device setup or IT involvement needed — anyone with a login can install it on their own device in a few seconds.

Rounds: Staff-to-Child Ratio Tracking

A separate, purpose-built way to track ratios — distinct from your task lists, but just as simple. A director, owner, or manager walks the building, and one submission records every room's student count, staff count, and any tasks that round calls for.

Every room can carry two independent ratio standards — a per-staff ratio and a separate group standard for larger rooms — so it's checked against whichever one actually applies. Set a daily target per round type, get a Dashboard alert the moment a room is out of ratio, and see student counts by time of day in Reports for smarter staffing decisions. This is a Pro plan feature.

Staff Onboarding: 30/60/90-Day Check-Ins

Day one gets planned. What happens after rarely does. Define your own onboarding checkpoints — a 30-day check-in with a manager, a 60-day feedback session, whatever milestones actually matter at your center — each anchored to a staff member's hire date and owned by whichever role should actually run it.

Some milestones just need to get done; others benefit from a second set of eyes, so you can require a separate confirmation from whoever's overseeing it — the same two-person accountability model used elsewhere in Childcare Owl, applied to onboarding instead of daily tasks.

A Dashboard alert surfaces anything overdue, due soon, or waiting on a confirmation, and Reports rolls up who's on track across your whole team. This is a Pro plan feature.
